Grants Accountant (NIH & DOD)

The Grants Accountant is responsible for all aspects of financial management of various grants and works collaboratively to ensure compliance with internal policies and procedures as well as NIH and DoD regulations. This role will provide support to the Project Director. This is a senior level position in research and corporate administration, and will support the functional areas including, but not limited to: funding information; direct, in-direct, overhead and G&A costs and allocations, regulatory compliance; proposal preparation and processing; award negotiation and acceptance; monitoring of expenditures; accrual reports; post-award administration; project accounting and cash management; cost analysis, compliance and monthly management reports. The candidate must be able to provide compliance, finance support and mentoring for finance, operations, and program staff throughout the project.


  • Provide overall leadership in the areas of financial management and grants management for various grants from the NIH, DoD and others
  • General responsibilities will include accounts payable, cost allocation, quarterly reporting, budget preparation, grants management, and tracking support
  • Develop system for recording and tracking all fiscal activities for all programs
  • Analyze and evaluate contract and grant/project budgets for correct calculation of expenditure categories such as salaries, salary increases, fringe benefits, indirect cost, overhead, G&A, materials, and equipment
  • Ensure that all financial and grants management and reporting are compliant with NIH, DoD and others grants management and financial management regulations
  • Develop annual fiscal year budgets with the Project Director as well as developing and implementing grant budgeting and forecasting systems
  • Keep the grant files updated with budgets, grant contracts and agreements
  • Work closely with executive management to track progress on proposed grant and program deliverables
  • Respond to funder’s requests for reports and data outlining the progress of grant and contract cycles
  • Support/Coordinate the development of complex proposals and applications


Knowledge, Skills and Abilities:

  • Deep knowledge of grant funding policies and procedures and grant agreements (particularly NIH, DoD)
  • Ability to interpret complex sponsor regulations
  • Knowledge of the Federal Acquisition Regulations (FAR), and the applicable OMB circular(s) related to grants and contracts
  • Demonstrated experience in grants management or program development
  • Strong skills in financial analysis and reporting
  • Strong data collection, problem-solving and analytic skills
  • Ability to meet juggle competing priorities, meet demanding deadlines and work under pressure
  • Good interpersonal skills and an ability to communicate effectively in person, writing, and by phone
  • Skill in establishing and maintaining effective professional working relationships
  • Ability to provide ideas and recommendations to resolve issues
  • High level of integrity and commitment to professional responsibilities
  • Ability to work with business mathematics and budgets


Minimum Qualifications:

  • A Master’s or Bachelor’s degree in Finance, Public Administration, Business or another relevant field
  • At LEAST five years of experience in Financial Management and post-graduate qualifications in Finance, Business Administration, Management, or Accounting
  • Experience managing large grants programs  
  • Demonstrated effective interpersonal skills, leadership, creative problem-solving, and ethical management
  • Strong data analysis and report writing skills
  • Excellent oral and written communication skills
